Availability Management

Set your coaching schedule once. PadelEngage shows players exactly when you are available. You control what they can and cannot book — without managing it manually.

The scheduling problem most coaches have

Managing availability across a coaching week is genuinely complex. You coach at two venues. You have recurring group sessions on Tuesday and Thursday mornings. You have ad hoc 1-to-1 slots most afternoons. You have a block booked out for a personal commitment on the 14th. And you need players to be able to see exactly what is available — and nothing that is not.

Most coaches solve this with a personal Google Calendar and a rule that says “message me and I will tell you when I am free.” Which creates a message for every potential booking, and an availability problem every time something changes.

How PadelEngage availability works

Your availability is set in a Google Calendar-style interface in the PadelEngage dashboard. Players see only what you have marked as available for their booking type. Nothing else is visible.

Weekly recurring schedule. Set the slots that repeat every week — your regular Tuesday morning group, your Friday afternoon 1-to-1 window. Set them once, they apply every week automatically.

One-off slots. Add a specific time that is only available once — a Saturday session you are running just for this week, or an extra slot you have opened up.

Day blocks. Block an entire day — or a recurring day pattern — from your availability. Holidays, training days, personal commitments. Nothing can be booked into a blocked period.

Override individual occurrences. Modify a single occurrence of a recurring slot without affecting the rest of the series. Cancel this Tuesday’s group without removing every future Tuesday from your calendar.

Colour-coded calendar view. Your dashboard calendar shows different slot types in different colours — recurring sessions, one-off slots, blocked periods, and confirmed bookings — so your week is readable at a glance.

Conflict detection. The system checks for conflicts before confirming any booking. If a slot is already taken or blocked, it cannot be double-booked.

iCal sync

Your PadelEngage booking calendar generates an iCal feed that syncs to Google Calendar, Apple Calendar, and Microsoft Outlook. Your coaching sessions appear in your personal calendar automatically — no manual entry.

This means your PadelEngage schedule and your personal calendar stay in sync. You will always see your coaching schedule alongside your personal one.
